Send automatic email notifications

An automatic email notification is triggered when there is a change to an artifact.

This email has a subject line that can be configured by the domain administrator for an artifact type in the domain or by the project owner for an artifact type in his or her project. There are five tokens you can choose from to make up your email notification subject line template.

For an artifact type:


If you choose the attributes "[%artifact_id%]%new_artifact% %id_attribute%" to comprise your email subject line template, the system substitutes the values dynamically while dispatching the email and the subject line reads as "[SC1][New][Tracks the audio defect in the speakers]"

  1. Go to the Project Tracker administration page.
    1. Click Admin in the CollabNet TeamForge navigation bar.
    2. On the site administration navigation bar, click Integrated App.
    3. Select Project Tracker and click Configure.
  2. Set the subject line at the project level.
    1. ClickManage artifact types.
    2. Click the artifact type to view the Edit Artifact Type screen.
    3. Click the link Configure notifications to configure the email notifications subject line.
    4. Select the options listed as explained above.
  3. Ensure that email notifications are sent to the right people. When an attribute value is modified, the users associated with an artifact where that attribute resides receive an email notification informing them of the changes. To ensure that the automatic email notification is sent to the recipients who are likely to be interested in that modification, you can identify users attributes associated with the artifact as those that will receive the email when an attribute is changed.
    1. Click the artifact type you would like to configure.
    2. Click the link Configure notifications at the top of the page.
    3. Scroll down to the section Attributes with notification. All the attributes in the artifact type will have the Edit link against them.
    4. Click the Edit link to list the user attributes whose associated users may receive change notification for the attribute. The section opens with the user options that have been created for this artifact type. For example:
      • Created by
      • Assigned to
      • CC
      • QA contact
    5. Select the user attributes whose associated users may receive change notification for the attribute. They will receive the email notification automatically triggered when there is a change to that attribute.
    6. Click Save.
Note: If no users are selected, then no email notification is sent when the attribute changes. However, with regard to changes to a user attribute, a notification is sent to those users whose association to the artifact is changed regardless of whether the settings indicate that they would be notified or not.
